What is true across every location

  • Licensing is per location, not per group. Each site carries its own term and status, so a new site joins without disturbing the ones already running, and a group can run different terms at different addresses.
  • One hierarchy: organisation, then clinics, then operatories. Booking is written at chair grain — the location and the operatory number — the level a group actually runs its day at.
  • One view across the group: licences, phone numbers, call volume and billing for every location, in one admin surface, not a login per clinic.
  • Every location keeps its own phone number and its own forwarding rules — its own after-hours window, its own busy-line setting.
  • Double booking is refused by the database, per chair, per location — an EXCLUDE constraint, not application logic a busy Monday morning, three front desks deep in calls, can race past.
  • The approval dial is set per location: hold for front-desk approval at a site still building confidence, book directly at one that already trusts it.
  • A Business Associate Agreement per entity. No call for a location is answered before that location’s BAA is signed.

What a group buyer asks

Can I roll this out one site at a time?
Yes. Licensing is per location, so you add a second site, then a third, without touching the ones already live.
Do all my sites have to work the same way?
No. The approval dial — hold for front-desk approval, or book directly — is a per-location setting. One site can run cautiously while another books directly, and you can change either one at any time.
Can I see all of it in one place?
Yes. Licences, phone numbers, call volume and billing for every location, in one admin view.
What happens when I add a location?
It joins. Nothing about the sites already running is touched — no shared setting moves, no existing schedule changes.
Who owns the patient data, and how do I get it back?
The practice, at every location. On request, we send a copy and delete ours — the same answer at one site or at ten.
